1) Communicate your promise in two lines

  • “They are never shared.”

Clear messaging reduces fear and increases conversion.

2) Limit access (least-privilege)

Internally:

  • only production staff access order files,
  • avoid uncontrolled sharing,
  • strong passwords + 2FA for admins.

3) Organize storage properly

Best practices:

  • folders per order,
  • consistent naming,
  • backups,
  • planned deletion after delivery (based on policy).

4) WhatsApp attachments: be careful

WhatsApp is convenient, but:

  • avoid keeping sensitive files on personal phones,
  • move files to a controlled storage after reception.
